Almost everything that constitutes the dwelling - inside and out - should be included in the checklist. The more specific and detailed the rental checklist is, the more beneficial for both parties (though in general, its more beneficial for the landlord as it ensures that the tenant knows what they are responsible for). If the unit is a multi-family home or large complex, the exterior of the property probably does not need to be included as the property manager is almost always responsible for maintenance and upkeep.
Here are few important things to remember when you build your checklist: 1. The devil is in the details. Include as many details as possible, even if for your own reference. 2. Include an autodate/time stamp function so each time you update the checklist, the file keeps track of when you did it. 3. Incorporate a way to communicate your checklist. Not every event participant needs your level of detail, nor does everyone need to see the budget. But do develop a nice summary style interface that people can scan for information. Spreadsheets do not lend themselves well to this, but something like Bento by filemaker does. Linking spreadsheet detail to your database is simple. 4. Also incorporate a way to quickly and easily communicate checklist details to everyone. In Bento it is very easy to pull email addresses from your contacts and send the information in just a few keystrokes.
One of the biggest users of checklists is the business world, from manufacturing to investing firms these lists are designed to make sure that all of the necessary tasks are performed. For example those companies that use heavy equipment of motorized vehicles will use a template to create a checklist that is used every day to make sure that the equipment is in proper running order before it is used for the first time every day. These lists have been credited with saving countless lives since their introduction.
Make sure you refer back to your checklist regularly, weekly if not daily. They are there to help you and to make sure you do not leave anything out of your wedding planning and ultimately your wedding celebrations. They can help the most disorganized bride become super organized and become totally in control and up to date with her wedding planning.
So what kind of checklists do event planners use? I think I have seen every possible checklist used in event planning. From excel spreadsheets, to databases, proprietary software, notebooks, slips of paper, calendars and bar napkins. What is the best checklist? Great question and I do not think there is one answer. It depends entirely on what the event planner is comfortable with. Event planners have the reputation of being highly organized and detailed, but how we get organized and detailed is via our checklists. The trick here is how we bridge our checklists to effectively communicate details to clients, vendors and event attendees.
Once you have found a good checklist you may need to edit it to fit with your wedding style. Most checklists will follow a generic template covering an 18 month planning period and a traditional wedding. Scan or copy it on to your computer and edit it as you need to. Even if you do not need to edit it I recommend copying it to your computer so you have a back up copy to print out should you need a spare or loose the original.
