An implementation can be a tough animal to tame depending on how you structure it. Having the right tools and methodology behind you to define and run a project can go a long way towards a successful deployment or development effort. Since a project can span several months and involve a variety of resources and skill sets, your role as a PM is to define the rules and manner in which the team will work under so the entire implementation does not falter.
The data will be in the form of database tables. Each column will have a field title and each column will also have a specific data type designed to the column. For instance, when the field data type is in a date format, one will not be able to type in text in that specific field. The upside to having data in this format is that one can easily extract specific data by making use of queries. One simply types the criteria for the date that needs to be extracted and the system sifts through all the data and only shows the information according to the criteria. Moreover, one can sort data according to alphabetical order or dates. One can also filter certain data to be displayed while others are hidden.
Each day sit down and make out a list of tasks that you will need to do that day. Alternatively you can do this on a weekly basis, moving to a daily basis as you get nearer to your wedding date. These mini checklists will be more detailed and provide a break down of those tasks which are on your main wedding planning checklist. A good tip is to ask anyone you know who has recently got married if they still have their checklists as they can be helpful if you get stuck.
Most team members often feel overwhelmed with the prospect of having to worry about timelines and tasks they need to accomplish over the duration of the work effort. Helping them to stay focused and organized is a key skill that a PM must bring to the table when running a project. One of the tools you can use to get things structured and organized is the "Project Checklist". This checklist is a roadmap to setup and put a framework around the project before it gets started.
Personally, I use two types of checklists. I use an excel spreadsheet and a filemaker database. They serve two different purposes: 1. The excel or spreadsheet style checklist affords a lot of room for detail and serves well as a simple database. I can plug in dates, times, names and math/budget functions. Budget functions are really important in a checklist in my opinion. For me as an event planner, I live and die by the budget. We can train anyone to plan an event, but planning an event within theme and on or below budget is the sign of a pro. Using a spreadsheet allows us to combine budget details with all of the other event details.
In the meeting planner checklist or meeting planner form, you should also include items such as how the invitation cards should be designed; the role of public relations; the preparation of press releases; the collating of bio data of VIPs and celebrities who are to be invited; special permissions that may be required to be taken for hosting the meeting at a certain venue that`s been selected.
