So, the meeting planner checklist now includes the placing of advertisements in newspapers, on television and in other media declaring the coming of the event with fanfare; making a final check of the guest, delegate and attendee list; the preparation of meeting kits for the VIPs and the other attendees; checking the final seating arrangement in the conference hall, on the dais, etc; the final estimate of guests, which is to be handed over to the caterers so that they may prepare food according to the number of heads; checking whether all planes and trains are running on schedule and making arrangements for airport pickups in limousines for VIPs; checking hotel bookings once again; etc.
Another type of checklist you might find is one that is posted on the wall in factory. This list is used to remind employees of the things they have to do every day before they start work. This can include ensuring that they have the proper personal protective equipment on. One of the most common uses of a template for a checklist is to create a start up sheet that can be used to check over machinery to ensure all safety guards are in place before it is started for the first time.
So what kind of checklists do event planners use? I think I have seen every possible checklist used in event planning. From excel spreadsheets, to databases, proprietary software, notebooks, slips of paper, calendars and bar napkins. What is the best checklist? Great question and I do not think there is one answer. It depends entirely on what the event planner is comfortable with. Event planners have the reputation of being highly organized and detailed, but how we get organized and detailed is via our checklists. The trick here is how we bridge our checklists to effectively communicate details to clients, vendors and event attendees.
